This Privacy Policy describes how Scandeer LLC ("Scandeer", "we", "us", or "our") collects, uses, and shares information when you access or use the VOX Voice AI Platform ("Service"). By using the Service, you agree to the collection and use of information as described in this policy.
1. Information We Collect
Account Information
When you register for VOX, we collect your name, email address, and a hashed password. Organization name and billing details are collected when you upgrade your plan.
Usage Data
We collect information about how you use the Service, including pages visited, API calls made, agent configurations created, and feature usage patterns. This helps us improve the platform.
Voice & Conversation Data
When end-users interact with voice agents you deploy, conversation transcripts and metadata (duration, latency, turn counts) are stored and attributed to your tenant account. Audio recordings are optionally stored if you enable call recording in your agent settings.
Technical Data
We automatically collect IP addresses, browser type, operating system, referring URLs, and device information for security, fraud prevention, and service improvement purposes.
2. How We Use Your Information
- Provision and operate the VOX platform and your voice agents
- Process billing and manage your subscription
- Send transactional emails (invite links, password resets, billing receipts)
- Detect and prevent fraud, abuse, and security incidents
- Analyze aggregate usage to improve product features and performance
- Comply with legal obligations and enforce our Terms of Service
3. Data Sharing
We do not sell your personal information. We share data only in these circumstances:
- Infrastructure providers: Supabase (PostgreSQL), MongoDB Atlas, Redis Cloud, OVHCloud VPS — each bound by their data processing agreements.
- Payment processor: Stripe processes billing data; we never store raw card numbers.
- Legal requirements: We may disclose data if required by law or to protect rights and safety.
- Business transfer: In a merger or acquisition, data may be transferred to the successor entity.
4. Data Retention
Account data is retained while your account is active and for 90 days after cancellation before permanent deletion. Conversation transcripts are retained for 12 months by default; you can delete them at any time from the dashboard. Audio recordings are retained for 30 days unless you configure a longer period.
5. Data Security
We use industry-standard security measures including TLS/HTTPS for data in transit, AES-256 encryption for sensitive data at rest, and bcrypt hashing for passwords. Access to production systems is restricted to authorized personnel with multi-factor authentication.
6. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of your data ("right to be forgotten")
- Export your data in a portable format
- Opt out of non-essential communications

7. Cookies
We use session cookies for authentication and localStorage for user preferences (theme, sidebar state). We do not use third-party advertising cookies or tracking pixels.
8. Children's Privacy
VOX is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with their information, contact us to have it removed.
9. Changes to This Policy
We may update this policy periodically. We will notify registered users by email of material changes at least 30 days before they take effect. Continued use of the Service constitutes acceptance of the updated policy.
